Happy Hour Checklist


Pre-Event Activities

  1. Secure venue and post the venue blurb online

    Due Date - 1st of the month

    If you anticipate delays, inform the Program Director asap to avoid warning notices from headquarters. After three warnings, your team will asked to discontinue operations.

  2. RSVP to your own event and then download your RSVP Guest List to make sure the system works for you..

  3. Promote locally

    This is the most important step in attracting high turnouts.

  4. Reconfirm with venues before the event

Event Activities

  1. Arrive early to setup and bring:

       a. Your RSVP Guest List
       b. RSVP Incident Report     What is this?
       c. Digital Camera
       d. Promotional Materials

  2. Set-up registration table
    (separate tables for Sponsors and Guest Hosts, as needed)

       a. Check off RSVP Guest List
       b. Complete RSVP Incident Report
       c. Collect Door Fees & Issue Name Tags

  3. Throughout the Event

       a. Take photos & note legal obligations
       b. Mingle with Guests (not fellow Organizers)
       c. Help with Introductions

Post-Event Activities

Due Date - the weekend immediately following the event

  1. Upload event photos
  2. Transfer Corporate Fee    What is this?
  3. Pay Webmaster Fee        What is this?
  4. Submit Event Summary Report
  5. Submit RSVP Incident Report     What is this?

Post your next venue blurb on or before the 1st.
