Pre-Event Activities
- Secure venue and post the venue blurb online
Due Date - 1st of the month
If you anticipate delays, inform the Program Director asap to avoid warning notices from headquarters. After three warnings, your team will asked to discontinue operations.
- RSVP to your own event and then download your RSVP Guest List to make sure the system works for you..
- Promote locally
This is the most important step in attracting high turnouts.
- Reconfirm with venues before the event

Event Activities
- Arrive early to setup and bring:
a. Your RSVP Guest List
b. RSVP Incident Report What is this?
c. Digital Camera
d. Promotional Materials
- Set-up registration table
(separate tables for Sponsors and Guest Hosts, as needed)
a. Check off RSVP Guest List
b. Complete RSVP Incident Report
c. Collect Door Fees & Issue Name Tags
- Throughout the Event
a. Take photos & note legal obligations
b. Mingle with Guests (not fellow Organizers)
c. Help with Introductions
Post-Event Activities
Due Date - the weekend immediately following the event
- Upload event photos
- Transfer Corporate Fee What is this?
- Pay Webmaster Fee What is this?
- Submit Event Summary Report
- Submit RSVP Incident Report What is this?
Post your next venue blurb on or before the 1st.
