RSVP Problems & What To Do

Policy on Disputed Claims

Never make a guest feel uncomfortable or turn anyone away because of an RSVP dispute,
EVEN IF you are absolutely certain that he is trying to lie his way in.

Head Organizers are responsible for ensuring that his or her Organizers, substitute Organizers, and Crew Members are informed of this policy and trained accordingly. * Any organizer who violates this policy will be asked to leave immmediately. *


Known RSVP Problems

  • Some people purposely didn't complete the "first name" and "last name" fields when they first registered for privacy reasons, or, they entered "n/a" and "n/a" instead. Obviously, their names won't appear on our Guest Lists, even though they may have, in fact, RSVP'd correctly for our event.

  • Members entered their first name in the [last name] field when they signed up, and their last name in the [first name] field. We also had one person last named "Chen", who entered "Toy" in the last name field when he first registered.

  • Members tried to RSVP but "had difficulty logging in". They couldn't remember their login ID or password or didn't know how to retrieve their login info in order to RSVP.

  • The ORIENTED website was down when they tried to RSVP. This will happen, from time to time.

  • Newcomers set up their ORIENTED login account for the first time, just days before our events. They think that by doing so, it also means that they have RSVP'd for our events (not true).

  • Some accidentally RSVP'd for an ORIENTED Happy Hour in a different city!

  • People just plain forget that they did not rsvp. Or, they RSVP'd for other event(s) around town that are not ours (!) and got themselves confused.

  • People say they RSVP'd, but we later learn that we have absolutely no record of them in our member databases, mailing lists, etc.

What to Do
  1. Let them in, without question. Maintain a friendly and professional stance at all times, take immediate ownership of the problem, and let them know that we will actively investigate.

  2. Take down their names and email addresses using this form.

  3. Make sure to write correctly/legibly, as we need to check on all 3 fields -- first name, last name, and email address. (If "Chan" was supposed to be "Chen" or "Chang", we lose that opportunity to verify b/c we have members with very similar names).

  4. After the event, download your very latest Guest Lists and eliminate those that simply RSVP'd too late.

  5. Email the names and emails of the others to the Program Director and Webmaster for investigation. We will provide a record-by-
    record explanation for each claim, including any we are unable NOT verify.

  6. On your sheet, write down the results of our investigation next to the names, and then take it to your NEXT event.

If those same people come to a future event, explain what happened. You may need to assist them to fix the problem.
